A stress-free birthday party plan in 5 WhatsApp messages

· Peta Zeta Park · 9 min read

If you’ve ever organised a children’s birthday party, you know how it goes: 17 browser tabs open, three venues that haven’t replied, a “premium menu” PDF you can’t make head or tail of and a deadline creeping closer. The good news is that it doesn’t have to be like that. A well-run celebration can come together in five WhatsApp messages. This is the exact guide, message by message, so your child’s birthday stops being a second job.

Why 5 messages are enough

When what you’re booking is easy to explain, the conversation gets simpler. You don’t have to compare packages A/B/C, fill in an endless form or guess what’s included and what isn’t. You tell them what you need in plain language, they confirm whether it works, and it’s booked.

That’s exactly what happens at Peta Zeta Park: there are no packages or menus to choose from, the whole park is hired out to your group, by the day, from €110 per day. What needs settling is the date, the times and how many of you there will be; you bring the decorations, the food and the cake (there’s a kitchen and an area for decorating). That’s why a booking fits into a short WhatsApp conversation, and here we walk you through it step by step.

Message 1 — The situation, in one sentence

All that matters here is that you give the basics without going into detail yet. Three facts are enough: the date, the birthday child’s age and a rough number of people (children and adults).

“Hi, we’d like to hire the park for my daughter’s 6th birthday on Saturday 13 June. There’d be about 15 children and about 10 adults. Is that day free?”

That’s it. There’s no need to explain the theme, the food or your exact arrival time in this first message. That comes later. The key question is simply: is the date free?

What to avoid: sending three messages in a row instead of one. When a lone “Hi” arrives with no context, the venue has to wait for the rest. Put everything into a single clear message.

Message 2 — The reply you get and what to do with it

Here you’re no longer the one opening the conversation; you’re replying to what they confirm. You’ll usually get one of these three replies:

  • “Yes, that Saturday is free.” Perfect. Move on to message 3.
  • “That Saturday is already booked, would Sunday the 14th work for you?” You have two options: accept the alternative or try another day. If it works for you, carry on.
  • “It’s free; the hire on Saturdays runs from 12:00 to 23:00.” With the hire times in front of you, decide with your partner what time you want the party to start.

Your message 2 is simply confirming the date:

“Great, we’ll take Saturday the 13th. What do you need to know now?”

That last question matters: it invites the venue to guide you. A good place asks only what it needs to, without overwhelming you with a questionnaire.

Message 3 — The group details

This is where the information really needed to finalise the hire goes. Five details, all in one go:

  1. Approximate number of people (“about 15 children and 10 adults”)
  2. The children’s ages (“mostly 5–7, plus two younger siblings aged 3 and 4”)
  3. What time you’ll arrive and leave, within the hire times (“we’d arrive at 16:00 to set up and leave at around 21:00”)
  4. What you’re bringing (“we’re bringing the cake, the party food and the decorations, with a unicorn theme”)
  5. Anything that’s important to you (“one guest is autistic, where is the sensory swing?” / “what’s in the kitchen?”)

An example of a real message:

“There’ll be about 15 children, mostly aged 5–7, plus two little ones aged 3 and 4, and about 10 adults. We’d arrive at 16:00 to set up the decorations and leave at around 21:00. We’re bringing the cake, the party food and the decorations (unicorns).”

In this case, allergies are your department: since you’re providing the food, note them on your list when you send the invitations and plan the menu accordingly.

What to avoid: sending the details in five separate messages as they occur to you. Put it all together and send it in one go. It’s 10 times easier for the venue (and for you, too).

Message 4 — Availability and the hire price

At this point, a serious venue confirms the date and the price without beating about the bush. Something like:

“Great! Saturday 13 June is free. Hiring the whole park that day costs €XX (hire starts from €110 per day), from 12:00 to 23:00. You can set up the decorations in the area set aside for them and you’ll have the kitchen to prepare and serve the food. Shall I book it for you?”

Your fourth message is simply a yes, or a question about anything you still need to know:

“Perfect, that works for us. One question: what’s in the kitchen? So we know what we need to bring.”

This is where you wrap up the serious part of the conversation. If you need to talk it over with your partner, say so:

“OK, perfect, I’ll talk it over at home tonight and confirm tomorrow before 12.”

What to avoid: leaving the message unanswered for three days. Good dates go fast, especially from March to June and in December. If you need time to think, say you’re pausing (“I’ll get back to you tomorrow”) rather than disappearing.

Message 5 — Booking confirmed

The last message of the planning stage: you lock in the date. It usually looks something like this:

“Confirmed, we’re booking the park for Saturday 13 June. We’ll bring the cake, the party food and the decorations ourselves. Do you need a deposit in advance or do we pay on the day?”

From there, the venue confirms the payment method (some ask for a deposit, others don’t), and that’s it. Birthday party sorted in 5 messages. Any last-minute changes (your arrival time changes, a question about the kitchen comes up) you handle with a one-off message, without starting the conversation over.

What if you need something special?

There are cases where you’ll want to add a sixth or seventh message, and that’s completely normal:

  • Complicated decorations of your own (“we’re bringing a photo backdrop with lights, will it fit in the decorations area?”)
  • A guest with special needs (“one of the children is autistic, what’s the sensory swing area like? We’d like to prepare them for it”)
  • A plan B for rain — at an indoor play centre it makes no difference, but if part of the party is outdoors, make sure there’s a plan B

At Peta Zeta Park we’re the only play centre in Badajoz with an inclusive sensory swing, and any child in the group can use it during the hire. If any of the guests has autism, hypersensitivity or any sensory need, bear it in mind when you organise the party: because the park is yours alone, you set the pace, and you can turn the noise down when it’s time for “Happy Birthday” or set aside a quiet spell.

Common mistakes when organising on WhatsApp

After hundreds of bookings, these are the slip-ups we see most often:

  • Not asking about allergies until the day of the party. At 17:00 on a Saturday, with 15 children waiting for their party tea, is not the moment to discover that three of them are coeliac. If you’re providing the food, ask about allergies when you send the invitations.
  • Working out the food from the number in your first message. If you go from 15 to 22 children, the party food won’t stretch. Do the shopping with the final list.
  • Sending your first message at 22:00 on a Friday and expecting an instant reply. Venues reply during working hours. Bear that in mind.
  • Not rereading the confirmation. Read it all the way through, make sure the date, the times and the price are the ones you discussed, and keep the conversation.

Why this system works better than filling in a form

When you fill in a form, you guess what the venue wants to know. When you talk on WhatsApp, they guide you. You can see the difference in the celebration: parties that go wrong almost always have a misunderstood form or a field nobody read behind them.

With WhatsApp everything is in writing and in order, and you can scroll back to check any detail. And for the venue it’s the best way to understand your particular case instead of guessing at it.

How to start your message 1 with Peta Zeta Park

If you fancy celebrating the birthday at Peta Zeta Park, your first message to our WhatsApp, +34 698 992 995, can be exactly the example above. We reply within 2 hours during working hours. The park is hired out whole by the day, from €110 per day, during each day’s hire times (Mon–Thu 16:00–22:00 / Fri and eves of public holidays 16:00–23:00 / Sat, Sun and public holidays 12:00–23:00). And from there until the day of the party, you won’t need much more.

If you prefer email, you can also write to us through the contact form with the same details as in message 1.
